PRIVACY POLICY

How The Maps Machine handles your information

This notice explains what we collect, why we use it, who receives it, and the choices and rights available to you—including when you submit a Meta lead form.

The short version

  • When you request access or submit a Meta Instant Form, we use the information you provide to respond, deliver the requested video and setup help, and contact you about Maps Machine.
  • We use service providers to host the site, store lead records, play video, process payments, send email, schedule calls, and measure advertising.
  • We do not sell lead lists or payment-card details.
  • We do not sell or share mobile numbers, text-message opt-in data, or text-message consent with third parties for their own marketing.
  • You can object to or opt out of certain advertising measurement, withdraw marketing consent, and request access, correction, or deletion.

1. Who we are and what this policy covers

The Maps Machine (also referred to as “Maps Machine,” “we,” “us,” or “our”) is the data controller for personal information collected through mapmachines.com, our checkout and setup flows, our advertising lead forms, and communications we send about Maps Machine.

This policy applies whether you visit our website, submit a lead form on Facebook or Instagram, watch our setup video, buy a product, book a call, contact support, or otherwise interact with us. Meta and other third-party platforms also process information under their own privacy notices.

You are not legally required to give us personal information. If you do not provide information marked as required, however, we may be unable to respond to your request, call you, process an order, or deliver the relevant service.

2. Information we collect

Information you provide

  • Identity and contact details: name, email address, phone number, country, and any other contact information you submit.
  • Lead-form answers: answers to qualifying questions, such as the price you may want to charge and your readiness to begin.
  • Order information: products purchased, billing country, payment status, transaction identifiers, refunds, and related customer records. Stripe processes full card and wallet credentials; we do not receive or store full payment-card numbers.
  • Booking and support information: appointment references, messages, requests, feedback, and correspondence with us.
  • Account and setup information: details you provide while activating or using Maps Machine or linked service providers.

Information collected automatically

  • Device and connection data: IP address, browser and device type, operating system, user agent, approximate country, and security logs.
  • Website activity: pages viewed, referring page, date and time, session and visitor identifiers, link and campaign parameters, and interactions with our checkout and setup pages.
  • Video activity: whether the setup video was opened, started, paused, resumed, or completed; the playback position; and qualifying watch time. We use this to provide the next setup step and help our team follow up appropriately.
  • Advertising attribution: campaign, ad group, ad, placement, UTM, click, and pseudonymous visitor identifiers supplied by Meta, Whop, or the browser.

Information from other sources

We may receive information from Meta when you submit a Facebook or Instagram lead form, and from service providers such as Whop, Stripe, Postmark, Cal.com, hosting providers, and fraud-prevention or payment partners. We may combine it with information you provide directly where needed to operate the service, prevent fraud, or measure a campaign.

Please do not provide government identifiers, health information, financial account credentials, or other sensitive information unless we specifically request it and explain why it is needed.

3. How and why we use information

We do not make decisions based solely on automated processing that produce legal or similarly significant effects. Form answers and viewing activity may help our team prioritise requested follow-up, but a person remains responsible for any consequential decision.

4. Meta lead forms

Our advertisements may use Meta Instant Forms on Facebook or Instagram. Meta may pre-fill information from your Meta account and processes your use of its platforms under Meta’s own privacy policy. When you submit our form, Meta makes the submitted information and related lead, form, Page, campaign, ad-set, ad, platform, and timestamp identifiers available to us or to providers acting for us.

We use that information for the purpose stated in the form: to provide the requested Maps Machine information and video, assess the request, contact you about setup, answer questions, and administer follow-up. We do not obtain your Meta password or private account content.

The form links to this policy before submission. Any additional consent wording or checkbox shown in the form applies alongside this policy. Submitting a form does not waive your privacy rights, and consent to marketing can be withdrawn at any time.

5. Who receives information

We disclose only the information reasonably needed for the relevant purpose. Recipients may include:

  • Meta Platforms: Facebook and Instagram lead forms, ad delivery, and campaign reporting.
  • Whop: ad management, pseudonymous visitor measurement, attribution, and conversion-event reporting.
  • Vercel and Supabase: website hosting, server functions, databases, security, and system logs.
  • Stripe: payment processing, fraud prevention, receipts, and customer payment records.
  • Postmark: transactional and customer email delivery.
  • Cal.com: scheduling when you choose to book a call.
  • Close: customer-relationship management and delivery of the calls and text messages you requested.
  • Converteai/VTurb: delivery of the embedded video player and playback functionality.
  • Linked software platforms: only when you choose to follow a link, create an account, or connect those services.
  • Professional advisers, authorities, and transaction parties: where reasonably necessary for legal compliance, claims, security, financing, reorganisation, or a sale of the business, subject to appropriate safeguards.

Service providers are authorised to handle information only for contracted purposes and must protect it appropriately. Some providers are independent controllers for parts of their services, including Meta and Stripe; their own privacy notices also apply.

Mobile information: we do not sell or share your mobile number, SMS opt-in information, or SMS consent with third parties or affiliates for their own marketing or promotional purposes. We may disclose it to service providers acting for us only as needed to deliver messages, operate the requested service, prevent abuse, or comply with law.

6. Cookies, local storage, and advertising measurement

We use essential browser storage for security, checkout continuity, privacy preferences, and keeping your video or session state. With permission where required, we also use Whop’s advertising measurement technology and similar identifiers to understand which ad led to a visit or conversion. These technologies may store a pseudonymous visitor ID and campaign information in a cookie or local storage.

For visitors in regions that require prior consent, optional advertising measurement does not load unless that browser has already chosen to allow it. You can manage that preference here without losing access to the site. We also treat a recognised Global Privacy Control signal as an opt-out of sale or sharing for that browser.

Choose whether this browser may use optional advertising measurement. Essential storage remains active.

7. Retention, international transfers, and security

How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes described above. We determine the period by considering the length and status of our relationship, whether the information is still needed to deliver or improve the service, consent and opt-out status, fraud and security needs, limitation periods, disputes, and tax, accounting, regulatory, and other legal obligations. We may retain a minimal suppression record for longer so we can continue to honour an opt-out or do-not-contact request. Backups are deleted or overwritten on their normal cycle.

International transfers

Our providers may process information in the United States and other countries. Where UK or EEA transfer rules apply, we use an adequacy decision or approved contractual safeguards, such as standard contractual clauses or the UK transfer addendum, as appropriate. Contact us if you would like more information about the safeguards relevant to your data.

Security

We use reasonable technical and organisational safeguards designed to protect information, including encrypted transport, restricted administrative access, signed sessions, webhook-signature verification, role-based database controls, and provider security controls. No online service can promise absolute security. Please contact us promptly if you believe information connected with Maps Machine has been compromised.

8. Your rights and choices

Depending on where you live, you may have the right to request access, correction, deletion, restriction, portability, or a copy of personal information; to object to processing; to withdraw consent; to opt out of targeted advertising or sale/sharing; and to appeal a decision about a privacy request. You will not receive discriminatory treatment for exercising an applicable right.

Your right to object: where we rely on legitimate interests, you may object to that processing based on your circumstances. You may object to direct marketing at any time, and we will stop using your information for that purpose.

To exercise a right, email support@themapsmachine.com and describe your request. We may need to verify your identity and authority before acting. An authorised agent may submit a request where local law permits, but we may ask for proof of authorisation. We will respond within the period required by applicable law.

California and other US state disclosures

In the preceding 12 months, we may have collected the categories described above: identifiers and contact information; commercial and transaction information; internet or electronic activity; approximate geolocation derived from IP; audio/visual interaction data limited to video-player activity; professional or business information you choose to provide; and inferences such as readiness or interest based on your answers and activity. Sources include you, your device, Meta, Whop, payment and scheduling providers, and other service providers. We use and disclose these categories for the business and commercial purposes described in sections 3 and 5.

We do not sell personal information for money and do not sell lead lists. Disclosure of online identifiers and activity to advertising-measurement providers may be considered “sharing” or targeted advertising under some US state laws. Use the essential-only control above or a recognised Global Privacy Control signal to opt out for this browser. We do not knowingly sell or share the personal information of anyone under 18.

UK, EEA, and Canada

If you are in the UK, you may complain to the Information Commissioner’s Office at ico.org.uk. If you are in the EEA or Canada, you may complain to the data-protection authority where you live or work. We encourage you to contact us first so we can try to resolve the issue directly.

9. Children

Maps Machine is intended for adults and business users, not children. We do not knowingly collect personal information from children under 16. If you believe a child has provided information, contact us so we can investigate and delete it where appropriate.

10. Changes to this policy

We may update this policy when our practices, providers, or legal obligations change. We will post the revised version here and change the effective date. If a change materially affects how we use information already collected, we will provide any additional notice or choice required by law.
